Inspections

Inspections tracks recurring inspection rounds for your assets — each one backed by a digital checklist, so a technician has a step-by-step procedure to follow and every finding gets recorded — with a fleet-wide overdue-first view and an open-findings register, the same way Maintenance tracks preventive maintenance plans.

Navigate to Asset Management → Inspections for the fleet-wide list, or an asset's own detail page (under Asset Registry) to manage its rounds directly.

Fleet-wide Inspections page

A summary strip shows Active Rounds, Overdue, and On Track counts across your whole fleet. A List / Calendar toggle at the top switches between two views:

  • List (default) — every active inspection round, overdue-first, showing the round name, its asset, the checklist it uses, its interval, when it's next due, its status, and whether it escalates. Click an asset's name to jump to its detail page.
  • Calendar — a month grid, the same style as Maintenance's calendar. See Calendar view below.

Below the list, an Open Findings section lists every open non-conformance recorded across the fleet's inspection rounds — see Findings below.

Adding a plan

On an asset's detail page, in the Inspection Plans card:

  1. Click Add Plan.
  2. Enter a Name (e.g. "Weekly Safety Walkdown").
  3. Choose a Checklist — an existing, already-configured checklist (with its own Maker/Checker/Approver team). Unlike Maintenance Plans, this field is required — an inspection round is defined by the checklist it follows.
  4. Choose an Interval Basis:
    • Calendar days — due again N days after it was last performed
    • Run hours — due again after N hours of machine run time since it was last performed
    • Both (whichever first) — due as soon as either threshold is crossed
  5. Enter the interval value(s) for the basis you chose.
  6. Optionally choose an Escalation Matrix — if set, this round actively notifies people by email/Telegram once it goes overdue, following the matrix's levels (see Escalation Matrix). If left as None, the round is still tracked and shown as overdue on the Inspections pages, but nobody is actively notified.
  7. Click Save Plan.

Engineer access required

Adding, logging, and deleting inspection plans requires engineer access.

Running a round

When a round comes due, click Start Round on the plan's row. This opens a fresh copy of the plan's checklist for a technician to fill in — unlike Maintenance, no Work Order is involved; the checklist opens directly, ready to work through. While a round is in progress, the row shows View Round instead, linking back to the same checklist.

Once the checklist is filled in and closed out, click Log Result on the plan's row. This records the round as performed — using the checklist's own outcome to determine whether it passed or turned up findings — and restarts the countdown to the round's next due date/run-hours. A short Recent inspection history list below the plan table shows the last few logged rounds and their result.

Findings

Any item marked as a non-conformance while filling in a round's checklist becomes a finding — visible both on the asset's own Inspection Plans card (Open findings) and in the fleet-wide Open Findings register. Each finding shows which round and asset it came from, the remark recorded against it, and when it was logged.

Click Raise Work Order on a finding to turn it into a trackable repair — this opens the same Report an Issue flow used elsewhere in Asset Management, pre-filled with the finding's own remark, so the issue is on record as a Work Order without re-typing anything.

Overdue status

A round is marked Overdue as soon as it passes its next-due date and/or run-hours (depending on its interval basis) without being logged. This is always shown live — both on the asset's own page and the fleet-wide Inspections page, which sorts overdue rounds to the top.

Overdue inspections also appear in the notification bell and the Machine Issues dashboard alongside trigger, VFD, and maintenance alerts, and — if the round has an Escalation Matrix attached — actively escalates by email/Telegram the same way those other alert types do.

Deleting a plan

Use the Delete button on the plan's row and confirm. This removes the plan and stops tracking it — it doesn't affect rounds already logged against it.

Calendar view

Switch to Calendar on the fleet-wide Inspections page for a month-grid view of due dates and logged results:

  • Round due dates — rounds on a calendar-days (or "both") interval, shown on their next-due date. Rounds on a run-hours-only interval don't have a specific date to place on the grid; they're listed separately below the calendar under "Not on the calendar (run-hours based)."
  • Logged rounds — a marker on the day each round was last logged, colored by whether it passed cleanly or turned up findings.

Each day with activity shows small colored count badges — a legend above the grid explains the colors: blue for upcoming due dates, red for overdue, orange for rounds logged with findings, green for clean completions. Use the arrows to move between months.
